In coordination with the project teams and the studio, the Event Manager must design, organize and supervise physical or digital events linked to the agency’s services (influencer marketing, collaborations, talent management) in order to maximize impact of communication actions and strengthen the engagement of client brand audiences.

YOUR MISSION

Planning and organization of events:

  • Develop event concepts based on client objectives
  • Create detailed schedules for each event, including managing deadlines, resources, suppliers and budgets.
  • Identify and select event locations based on event needs and objectives.

Management of suppliers and partners:

  • Negotiate and manage relationships with suppliers (caterers, decorators, technical managers, hostesses, etc.).
  • Coordinate with external service providers to ensure all aspects of the event (sound, lighting, audiovisual, etc.) are in place and functioning properly.
  • Oversee logistics management, including transportation, accommodation and catering for participants or speakers.

Budget and resource management:

  • Develop and monitor the budget for each event, ensuring financial limits are respected.
  • Track expenses in real time and adjust budget forecasts if necessary.
  • Ensure the profitability of the event by seeking optimal solutions while maintaining a high level of quality.

Event communication and marketing:

In collaboration with the Marketing team

  • Develop communication strategies to promote the event, in collaboration with marketing teams (social networks, newsletters, etc.).
  • Manage participant invitations, registrations and follow-ups.
  • Create and distribute communication materials (programs, invitations, brochures, etc.) before, during and after the event.

Field coordination:

  • Supervise the installation and set-up of event venues.
  • Manage the progress of the event on the ground
  • Manage on-site teams (volunteers, staff, etc.) and ensure the rapid resolution of any logistical or unforeseen problems.

Post-event monitoring and evaluation:

  • Collect feedback from participants and customers to evaluate the success of the event.
  • Analyze performance indicators (satisfaction rate, media coverage, commercial impact, etc.) and make recommendations to improve future events.
  • Ensure debriefing with internal and external teams

WORK EXPERIENCE & EDUCATION

  • Training in event management, communications, marketing, or a related field.
  • At least 3-5 years experience in event management, preferably in a similar industry
  • Experience managing online or hybrid events (physical and virtual) is a plus.

YOUR SKILLS

  • Excellent organization: Ability to manage several tasks at the same time, meet deadlines and anticipate logistical needs.
  • Project management skills: Proficiency in project management tools and ability to follow a project from A to Z.
  • Supplier negotiation and management: Ability to negotiate with service providers to obtain the best financial and logistical conditions.
  • Creativity and attention to detail: Ability to design memorable events and pay attention to every detail to ensure a flawless experience.
  • Communication Skills: Ability to communicate effectively with customers, suppliers, teams and participants.
  • Stress management: Ability to remain calm and quickly resolve problems in the event of unforeseen events or last-minute constraints.
  • Fluent English

THE OPPORTUNITY

  • Position based in Paris 75009
  • 3-4 days a week office requirement (others on remote)
  • Salary to be negotiated based on experience
  • Lunch voucher 10€ per day (60% employer) and Transport remboursement (75% employer)
