Administrative Officer ( Border Force Juxtaposed Operational Services Unit) - FRA24.386 chez Department for Business and Trade
The BF Europe command is looking for an Administrative Officer to join its Juxtaposed Operational Support Unit (JOSU) at Port of Calais, France.
Calais port is a large command with 450 staff operating juxtaposed immigration frontline duties. It is vital that the successful candidate has the ability to interact with the Port Operator, carriers and stakeholders, and is able to foster excellent working relationships.
The job holder will be based in the UKBF office at Port of Calais, France, but may also require working at other juxtaposed locations, currently Dunkerque and Coquelles. The successful candidate will need to be able to balance the competing demands of supporting frontline operations, managing contractors, working with the Port Operator on matters such as accommodation and H&S, managing supplies and translating during meetings.
The job holder will be expected to provide a good level of written and oral communication in both French and English. The ability to work independently as well as a team is an essential requirement for this role. The post holder must be able to meet deadlines and work well under pressure, so good time management is essential. There is no line management responsibility.
This is a quickly changing work area with numerous long-term projects underway and candidates will need to be flexible and willing to embrace change.
The core working hours are between 9:00 and 17:00 CET, however there may be a need to deploy flexibly, and the post holder is therefore expected to manage their own hours effectively to meet all elements of the contract.
The Role Encompasses
- Coordinating with Port Authorities, Contractors, Corporate Services, Operational frontline officers to ensure effective and efficient control operations.
- Oversee and report on accommodation, health and safety and fire safety matters, ensuring all requirements meet both French and UK standards.
- Support Senior Management by liaising with external agencies and stakeholders and providing translation services at meetings with French-speaking stakeholders.
- Carrying out procurement and invoicing, and accurately applying the Home Office procedures for budgeting.
- Monitoring office resources, including equipment, stationery, and uniform items, and liaising with managers, suppliers, and UK based teams, following processes and procedures effectively.
- Ensure compliance with site security protocols and arrange secure access for Border Force members of staff, stakeholders and contractors.
- Flexibility to undertake other duties that may reasonably be required, within the grading and core competences of the job.
