Are you a dynamic, forward-thinking Executive Assistant ready to make a significant impact in a fast-paced global healthcare environment? Opella, the Sanofi Consumer Healthcare BU, is seeking an exceptional Executive Assistant to support two key leaders on our Opella Executive Committee: the Chief People Officer and the Chief Sustainability Officer.
Your Mission
As a crucial member of our team, you’ll be the linchpin that keeps our leadership operating at peak efficiency. Your role goes beyond traditional administrative support – you’ll be a real partner, anticipating needs, solving problems, and driving initiatives forward in our ever-evolving environment.
Key Responsibilities
Strategic Calendar Management
- Masterfully juggle complex, high-stakes schedules for two C-level executives
- Prioritize and manage competing demands with grace and strategic thinking
- Coordinate seamlessly with the Executive Assistant to the EVP Head of OPELLA and other CHC LT Assistants
Communication Catalyst
- Craft compelling presentations, reports, and correspondence
- Liaise effectively with internal staff, senior managers, executives, and external partners
- Manage confidential information with the utmost discretion and professionalism
Operational Excellence
- Spearhead travel arrangements, expense reporting, and procurement processes
- Proactively optimize internal processes for maximum efficiency and effectiveness
- Onboard new team members, ensuring a smooth integration into the organization
- Support and partner with the P&C Operational Excellence team by monitoring budget spent T&E, consulting fees and any project involving the Chief People Officer agenda and priorities.
Project Support and Event Management
- Drive the success of key initiatives, from Global Forums to off-site workshops
- Anticipate and proactively resolve potential issues before they impact the leadership team
- Support internal communications efforts across various channels
Cross-Functional Collaboration
- Interface with critical functions including Finance, Procurement, Facilities, and Digital teams
- Maintain up-to-date distribution lists, org charts, and other essential materials
- Adapt quickly to changing priorities and support ad-hoc projects as needed
About You
- Significant experience as an Executive Assistant in a fast-paced, global environment
- Advanced proficiency in Microsoft Office suite; familiarity with Concur, Workday, and other enterprise tools is a plus
- Fluency in French and English (both written and spoken)
- Exceptional organizational skills with a talent for multitasking and prioritizing
- Strong problem-solving abilities and a proactive, solution-oriented mindset
- Excellent interpersonal skills with a collaborative, team-player attitude
- Ability to maintain confidentiality and exercise discretion in all matters
- Agile mindset with the capacity to thrive in a dynamic, rapidly changing environment
- Experience in project management and event coordination
